Bookkeeper and Administrative Assistant
The West End Home Builders’ Association (WE HBA) is currently seeking a Bookkeeper and Administrative Assistant to join their team on a part-time or consultant basis (three days in the office per week). The successful applicant will be self-motivated, and detail orientated, with the ability to multi-task, with an emphasis on financial reporting and document management. The Bookkeeper will proactively assist the CEO and the Board of Directors in monitoring budgets and day-to-day cash flow and will be responsible for monthly financial reporting to the CEO and the Board of Directors. Experience working with a Board of Directors and with membership database management (i.e. Growth Zone) is not necessary but would be considered an asset.
Duties & Responsibilities:
- Prepare accurate and timely financial statements on a monthly basis;
- Maintain accurate and complete financial records including the chart of accounts, monthly bank reconciliations, working papers and all supporting financial information;
- Process payments on a monthly basis for review and approval;
- Review accounts receivable reports and follow-up on aged receivables on a weekly basis;
- Assist with membership renewal and cancellation process;
- Assist management with preparation and monitoring of budgets and day-to-day cash flow;
- Provide management with information and financial analysis to support decision-making as required;
- Provide financial information to external accountants and other external parties as required;
- Assist in the timely calculations and implementation of salaries and applicable subsidy calculations;
- Process bi-weekly payroll and maintain related records;
- Provide monthly financial reports to CEO and staff (events, programs, AR, etc.);
- Produce year end reports for review by CEO, Treasurer, and Board of Directors
- Prepare monthly financial reporting package for CEO and Board of Directors;
- Preparation annual reporting package for annual review, including coordination with accountants;
- Ensure adherence to contracts and legislation;
- Ensure compliance with local, provincial, and federal reporting requirements and related tax filings (HST remittances, T4s, annual return, etc.);
- Membership database management, including membership and other invoicing (WE HBA utilizes Growth Zone);
- Other administrative tasks and Provide administrative support to CEO & office staff as required.
Qualifications:
- Completion of Post-Secondary education in Accounting or Finance, or equivalent;
- At least 5 years of experience in a designated accounting capacity;
- Previous experience working with a Board of Directors is an asset;
- Ability to maintain cooperative working relationships with others in the Association;
- Excellent organizational and problem solving skills;
- Strong analytical and solution providing skills;
- Meticulous attention-to-detail;
- Self-confidence and maturity to work effectively with the CEO & Directors;
- Strong interpersonal skills to manage key relationships (members, partners, government agencies, etc.)
- Proficient in QuickBooks, Microsoft Outlook, Word, Excel, and PowerPoint;
- Familiarity with Growth Zone (membership database) is considered an asset;
- Valid Ontario G-license and access to a vehicle;
- Both in office duties, with some flexibility for remote workdays.
